Frequently Asked Questions
Everything you need to know about Notion, the setup and your data before you get started.
What is Notion?
Notion is an app for organising work in one place, using pages, tables, boards and timelines. It runs in a web browser as well as on desktop and mobile, so there is nothing to install. Your workspace uses it to hold your project's activities, tasks, outputs and budget. Notion also includes built-in AI tools, for example to summarise notes or draft text. Which AI features you can use depends on your Notion plan, and they are not part of our setup.
Why do I need Notion for my Erasmus+ project?
An Erasmus+ project has several partners, many activities and a budget you must be able to justify. Notion is one of the most suitable project management tools for this. Your partners, activities, tasks, outputs and budget stay linked in one shared place, and you can see the same work as a table, a board or a Gantt timeline. Nothing gets lost between emails and spreadsheets, and your evidence is ready when the final report is due.
Why not create the workspace myself instead of using our service?
You can, but building linked databases, views and a complete Erasmus+ workspace dashboard structure from scratch that actually works takes days, requires real experience with the tool, and mistakes are hard to fix later. We deliver a proven structure already filled in from your application, so you start managing your project on day one with zero building friction. It is ready within 3 working days for KA1, 5 for KA210 and 7 for KA220.
How does the service work exactly?
It takes three steps. First, you share your approved application, your list of partners, your Key Action and the email of the Notion account where you want your copy. Second, we set up your activities, tasks, outputs and budget in Notion, using the structure that matches your Key Action: participants and mobility activities for KA1, activities with their grant amounts for KA210, and work packages for KA220. Third, you receive your own copy of the workspace and a short walkthrough call for you and your partners. If something is missing from the application, we ask for it before we start.
Is my project information kept confidential? Do you keep access to my workspace?
The workspace is private by default. Only the people you invite can open it, and you decide who can view or edit each page. Your application and partner details are used only to build your workspace and are not shared with third parties. The workspace is a copy in your own Notion account, and we do not keep access after handover unless you ask us to.
Is Notion safe for project data, and is it GDPR compliant?
Notion publishes a data processing addendum and uses standard contractual clauses for transfers of data from the EU. The workspace is designed to hold project management information such as activities, tasks, outputs and budget, so there is little reason to store personal data in it. How your organisation uses Notion remains your responsibility, and we recommend checking Notion's data terms for your plan.
Do I need a paid Notion account?
The price on this page covers our setup work only. Notion has a free plan, and whether it is enough depends on its limits and on how many partners you add. Paid plans are billed per member. We confirm the right setup with you before starting.
Do my partners need a Notion account?
Partners can be invited as guests to the pages they work on, or added as members of your workspace. Guests only see the pages shared with them, while members can see the whole workspace. Guest limits depend on your Notion plan, so we confirm the right setup for your consortium before building. Your partners do not need any Notion experience, because we explain it in the handover call.
